How the platform protects children's data

• Access is scoped to your club and your role. Every page and action in the dashboard first resolves who you are, which club you are acting in and what your role there allows. A coach at one club cannot see another club's records.
• Parents control sharing between clubs.Where a child attends more than one club on CADEM, only the child's own guardian can grant one club sight of the other's record, and the guardian can revoke that sharing at any time. A revoked share stops working immediately.
• Photos and video are consent-gated.A child's photo is only ever shown when the club has media enabled and the child's guardian has granted consent for that club. If either is missing, or anything at all is unclear, the platform shows no photo. It fails closed, never open.
• Player ID verification is minimal and fail-closed. Scanning a player's ID card shows name, age, squad and club, nothing more. An unknown or expired link shows a not-found page, the pages are excluded from search engines, and the photo appears only when the consent gates above pass, otherwise initials.
• There is no public directory of children.The public pages of the platform list clubs and sessions. A child's record is visible only to the staff of their own club and to their own guardians.

What parents control

Guardians hold the consent decisions for their own children: whether a club may use photos and video of their child, and whether one club may see another club's record of them. Withdrawing either takes effect straight away.

What stays your club's responsibility

CADEM is software. It supports your safeguarding practice but does not replace it. If you run a club, you remain responsible for:

• DBS checks (or the equivalent in your nation) for coaches and volunteers who work with children,
• your FA affiliation or governing-body requirements, including a named club welfare officer where required,
• your own safeguarding policy and how it is followed, and
• keeping development notes factual, fair and appropriate. Write every note as if the parent will read it.

Reporting a concern

If a child is at immediate risk, call 999. Concerns about conduct at a club should go to that club's welfare officer and, where appropriate, the relevant governing body.
