1. About these terms

These terms apply when you use the CADEM club platform at app.cademsports.com or in the CADEM mobile app, whether you run a club (an organisation of any kind: a club, a coaching business, a development centre or a community group) or you are a parent or guardian booking a child into sessions. By creating an account or a club, or by making a booking, you agree to them. Our merchandise store has its own separate terms.

2. The service

CADEM is software for running grassroots sport: session scheduling and bookings, attendance, payments, communications between clubs and parents, and player development records. We provide the software; the club provides the coaching, the sessions and everything that happens on the pitch.

3. Accounts

You need an account to run a club or make bookings. Keep your sign-in method secure and tell us if you think someone else has access to your account. Accounts belong to adults; children do not hold accounts on the platform.

4. Fees and payments

• Setting up a club is free. CADEM charges a platform fee on each paid booking, calculated as a percentage of the booking price. The rate that applies to your club is shown in your club settings.
• The club chooses who bears the fee. By default the fee is added on top of the price the parent pays, so the club keeps the full amount it charges. A club can choose to absorb the fee into its own price instead.
• Stripe processes all payments.The club is the merchant of record for every booking: parents buy from the club, not from CADEM. Money settles into the club's own connected Stripe account and is never held by CADEM.

5. Refunds and cancellations

Refunds are the club's responsibility and follow the club's own refund policy. The platform gives clubs the tools to issue refunds, and refunds are returned to the original payment method through Stripe. If you are a parent seeking a refund, contact your club first; if you cannot resolve it with the club, contact us and we will help where we can.

6. Your content and data

The club owns its data: its member records, coaching notes, attendance and payment history belong to the club, not to us. Parents and guardians control the key choices about their own child's data, including photo and video consent and whether one club may see another club's record of their child. How we handle personal data is set out in our Privacy Policy and, for clubs, in the Data Processing Addendum below.

7. Acceptable use

You must not:

• use the platform to harass, harm or endanger anyone, or upload content that is unlawful or inappropriate for a service that handles children's data,
• access, or attempt to access, records of children or clubs you have no legitimate connection to,
• interfere with the operation or security of the platform, or
• use the platform to send spam or unsolicited marketing.

8. Suspension and ending your account

You can stop using CADEM at any time. If you run a club and want to close it, contact support@cademsports.com and we will wind the club down with you. We may suspend or close accounts that break these terms, and where the breach concerns the safety of children we may do so immediately. When a club leaves the platform, the Data Processing Addendum governs the deletion or return of the club's data.

9. Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited under the law of England and Wales. Subject to that, the platform is provided as it stands, we are not liable for indirect or consequential loss, and our total liability to a club in any 12 month period is limited to the platform fees we received from that club in that period. The club remains responsible for what happens at its own sessions.

10. Data Processing Addendum

This addendum applies to clubs and forms part of these terms. When a club uses the platform, the club is the data controller for its club data and appoints CADEM Sports Ltd as its data processor under Article 28 UK GDPR.

• Subject matter and duration:processing of the club's data on the platform (player and member records including names, dates of birth, attendance, development notes and consent-gated photos and video, plus bookings, payment records and communications) for as long as the club uses the platform.
• Data subjects:children registered with the club, their parents and guardians, and the club's staff and coaches.
• Instructions:we process club data only on the club's documented instructions. Using the platform's features constitutes those instructions.
• Confidentiality and security:everyone processing club data for us is bound by confidentiality, and we apply appropriate technical and organisational measures, including encryption in transit, role-based and club-scoped access controls, and consent gates on children's media.
• Sub-processors: the club gives general authorisation for the sub-processors listed in our Privacy Policy. We will give notice before adding or replacing one, and the club may object on reasonable grounds.
• Assistance: we help the club respond to data subject requests and meet its own UK GDPR obligations, and we will notify the club without undue delay after becoming aware of a personal data breach affecting its data.
• Deletion on exit:when the club stops using the platform we delete or return the club's personal data, at the club's choice, unless the law requires us to keep it.
• Information: we make available the information reasonably necessary to demonstrate compliance with this addendum.

11. Changes to these terms

We may update these terms as the platform evolves. When we make a significant change we will tell clubs and account holders before it takes effect. Continuing to use the platform after a change means you accept the updated terms.

12. Governing law and company details

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
